From kilo to product drop: how to get vintage stock ready for your webshop

Buying new vintage stock is one thing. Turning that stock into attractive webshop products is the next step. With a fixed way of working you keep track, present every item well and turn incoming kilos into a product drop that customers love to browse.

1. Decide in advance what you want to launch

You don't have to wait until all items are online before you think about the presentation. Choose a direction for your drop right away: for example winter layers, denim, festive pieces or a mix of special finds and everyday favourites.

A clear selection makes it easier to align your photos, product descriptions and social media posts. You can present the stock as a whole, while every garment still shines on its own.

2. Sort and check your stock

Lay the clothing out clearly and check every item before you photograph it. Look at the condition, fastenings, seams, lining and any stains or signs of wear. Then decide where the item fits best: in the webshop, in the store or in another selection.

Be honest about details. A clear photo and description of a sign of wear prevents surprises for your customer and helps build trust.

3. Give every item its own place

When you process several items at once, it is easy to lose track. So give every garment an internal number or label and record the key details in one fixed place. Think of the category, the size on the label, measurements, condition, purchase cost and the status of the item.

That way, while photographing and uploading, you know exactly which product belongs to which photos and description. It also makes it easier to see which items still need to be prepared or put online.

4. Get the clothing photo-ready

Remove lint and loose threads and make sure the item hangs nicely. Steaming can help present clothing well, but always check the material and care label first. Not every vintage item is suitable for the same treatment.

Preferably photograph in a fixed spot with soft light and a recognisable background. A consistent style makes your webshop clearer and keeps the focus on the clothing.

5. Photograph the whole story

Start with a clear photo of the front and back. Then add details that help a customer judge the item properly: the fabric, fastening, print, label and special finishing. Does the item have a small stain or damage? Show that too.

Try to capture the shape and colour as true to life as possible. Ideally use the same crop and lighting for similar products. That way your webshop looks like one collection, even when the clothing comes from different eras.

6. Measure and describe accurately

Vintage size labels can differ by brand and era. So besides the label, also list the key flat measurements, such as chest width, waist, shoulder width and length. Give a fit indication if you like, but let the measurements be the starting point.

Keep product descriptions clear and concrete. Describe the material, colour, cut, striking details and condition. Use terms customers are likely to search for, such as "leather jacket", "knitted jumper", "wide-leg trousers" or "floral blouse". Only mention a brand, era or material if you are sure of it.

7. Upload in manageable batches

You don't have to put your entire stock online at once. Work in batches that suit your time and capacity. That way you can give every item enough attention and keep room to launch something new regularly.

Make the presentation recognisable with a short introduction to the drop. For example, say which categories it includes or what makes the selection special. Also show a few different items, so customers get a good picture of the range of your new stock.

8. Get more out of a photo shoot

Your product photos can also be the basis for your other content. Use detail shots for stories, make a short video of the shoot or show how you combine different items. That way you don't have to create new material from scratch for every channel.

A small teaser beforehand can make customers curious. Then share the new items once they are online and link clearly to the webshop or collection page.

A fixed workflow makes the difference

From receiving and checking to photography and uploading: with a fixed order it becomes easier to get vintage stock ready for sale step by step. You keep track, give customers the information they need and build a webshop that always offers something new to discover.
